Webinar program calendar

The program calendar is every webinar the client plans to run. Nexus fills it from the webinar strategy: the dates follow the strategy's cadence, preferred days and times, blackout dates and the minimum gap between webinars (so two promotions never compete for the same audience). Each date gets a working title, a pillar, a persona, a format and proposed speakers from the strategy. Code picks the dates; the model only picks the topics.

What it does

The program calendar is every webinar the client plans to run. Nexus fills it from the webinar strategy: the dates follow the strategy's cadence, preferred days and times, blackout dates and the minimum gap between webinars (so two promotions never compete for the same audience). Each date gets a working title, a pillar, a persona, a format and proposed speakers from the strategy. Code picks the dates; the model only picks the topics.

Planned dates are ideas until someone confirms them. Ideas get no reminders. When an idea gets close, Nexus asks in the client's channel whether to confirm, move or drop it.

Confirming a webinar re-plans its timeline from today, copies the goals from the strategy, estimates the team hours it needs, writes the brief (the promise, the takeaways, the session structure with timings) as a Google Doc, and drafts invitations for speakers who haven't said yes.

Set it up

  1. The webinar strategy must be on file. Without it, a single webinar can still be planned on its own.
  2. Fill the calendar: "Plan our webinars for the next six months." Running it again only fills empty dates.
  3. See it: "Show the webinar program." Or open the webinars dashboard.
  4. Confirm one: "Confirm the next webinar." You can change the date, format or speakers as you confirm.
  5. Not sure what to run? "Brainstorm webinar topics."

Troubleshooting

  • The planner says there's no strategy. Build the webinar strategy first, or plan the one webinar you need with "Plan a webinar on <topic> for <date>."
  • No open dates. Every month (or week) in the window already has a webinar, or the blackout dates and the minimum gap leave nothing. Change the cadence or spacing in the strategy.
  • An idea is on the wrong date. Move it like any webinar: "Move the webinar to 2027-03-10 11:00."

Prompts

  • "Plan our webinars for the next six months."
  • "Show the webinar program."
  • "Confirm the next webinar."
  • "Brainstorm webinar topics."
